Job Description

Dental Office is excited to announce a job opening for a dedicated and skilled Dental Front Office Receptionist and Scheduler. This full-time position is an excellent opportunity for individuals passionate about providing exceptional patient care and efficient administrative support in a dynamic dental practice environment. As the first point of contact for our patients, the role demands a highly organized, detail-oriented, and friendly professional. Please note, this is an on-site position and is not eligible for remote work.

The successful candidate will be integral to fostering the welcoming and professional atmosphere of our office, ensuring that all front desk operations are conducted smoothly and effectively. Duties and Responsibilities

  • Greet patients and visitors in a courteous and friendly manner upon their arrival at the office.
  • Schedule and confirm patient appointments using practice management software, ensuring optimal use of practitioners' time and minimizing scheduling conflicts.
  • Answer incoming calls, manage the switchboard, and provide information or redirect calls as necessary to ensure effective communication within the office.
  • Maintain patient records with accuracy, updating them with the latest information regarding contact details, insurance, and medical history.
  • Process patient check-ins and check-outs efficiently, ensuring all necessary paperwork is complete and accurate.
  • Handle billing procedures and insurance claims, submitting claims and managing invoices and receipts accurately.
  • Coordinate with dental staff and other departments to manage daily administrative operations smoothly.
  • Prepare and maintain the reception area and all common spaces in a manner that ensures cleanliness and organization at all times.
  • Provide patients with information regarding treatments, procedures, and office policies.
  • Manage office supplies inventory and place orders as necessary to ensure the office is well-stocked and operational.
  • Assist in the management of office emergencies with professionalism and composure.
  • Participate in office meetings and training sessions to stay updated on the latest office practices and to improve job performance.
  • Perform other clerical duties such as filing, photocopying, transcribing, and faxing.

Requirements

  • High school diploma or equivalent; further certification in Office Management is a plus.
  • Proven experience as a Front Office Receptionist, Scheduler, or similar administrative role, preferably in a dental or medical office.
  • Strong understanding of office administration and basic accounting practices.
  • Superb communication skills, both verbal and written, with an ability to interact amiably with patients and team members.
  • High level of proficiency in using office software and technology, including practice management software, Microsoft Office Suite, and database systems.
  • Excellent organizational and multitasking abilities, capable of working under pressure in a fast-paced environment.
  • A keen eye for detail and a commitment to accuracy in all aspects of administrative work.
  • Ability to handle sensitive information confidentially.
  • Strong customer service orientation and problem-solving skills.
  • Flexibility to adapt to changing schedules and job duties.
  • Knowledge of dental terminology and dental office procedures is highly desirable.
  • Availability to work in shifts, over weekends, or evenings if required to meet office needs.
