Duties and Responsibilities

  • Oversee daily office operations and ensure the office functions smoothly.
  • Manage general administrative activities, including but not limited to handling correspondence, managing office supplies, and maintaining office equipment.
  • Develop and implement office policies and procedures to improve efficiency.
  • Supervise administrative staff, providing guidance and training as needed.
  • Foster a conducive work environment and maintain professional office standards.
  • Coordinate with IT department on all office equipment and software needs, ensuring timely updates and troubleshooting.
  • Assist with budget preparation for office supplies and other expenditures.
  • Liaise with HR to ensure efficient payroll processing, employee onboarding, and implementation of company policies.
  • Manage relationships with vendors, service providers, and landlords; negotiate contracts to optimize delivery and cost-saving opportunities.
  • Handle emergency issues that arise and escalate them to the appropriate channels in a timely manner.
  • Organize and archive office documentation effectively, maintaining confidentiality and accessibility for authorized staff.
  • Ensure compliance with health and safety regulations regarding the office environment.
  • Support the planning and execution of company events and meetings.
  • Budget management.

Requirements

  • Bachelor’s degree in Business Administration, Management, or relevant field.
  • A minimum of 5 years experience in office management, operations, or a similar role.
  • Strong leadership and decision-making skills.
  • Excellent organizational and multitasking abilities.
  • Experience managing budgets.
  • Outstanding verbal and written communication skills.
  • Adept at planning and coordinating logistic operations within the office.
  • Proficiency in Microsoft Office Suite, CRM, and office management software.
  • Knowledge of HR functions, including basic labor laws and payroll practices.
  • Ability to handle confidential information with discretion and integrity.
  • Must be proactive, with an enthusiastic approach to continuous improvement.
  • Strong problem-solving skills, with an ability to make sound judgments in a fast-paced environment.
  • Experience in handling budgets and expenses.
