Accounts Payable Specialist

695 Grove Street Gainesville, GA 30501 • Accounting • Full-Time

Salary Range:  $24 - $28 hour

Basic Function:

The Accounts Payable Specialist is responsible for managing and processing invoices, ensuring timely payments, and maintaining accurate financial records. This is a high-volume invoice processing environment within the dental lab services industry. This is an in-person role. 

Responsibilities:

  • Processing vendor invoices
  • Work to build relationships with employees and vendors. 
  • Process and review invoices, ensuring accuracy and proper authorization.
  • Verify and reconcile vendor statements and resolve discrepancies.
  • Enter and code invoices in the accounting system.
  • Management and maintenance of new vendor accounts, including the update and upkeep of W-9 files.
  • Prepare and process payments via checks, ACH, and wire transfers.
  • Maintain records of all accounts payable transactions.
  • Communicate with vendors and internal departments regarding payment inquiries.
  • Assist with month-end closing processes, including accruals and reconciliations.
  • Ensure compliance with company policies and financial regulations.
  • Form 1099s, including quarterly review to identify missing information
  • Support audits by providing necessary documentation and reports.
  • Continuously improve accounts payable processes for efficiency.
  • Other duties may be applicable as business needs may dictate and as assigned by management.

Requirements

Education/Experience:

  • High school diploma or general education degree (GED)
  • 2+ years’ experience in corporate AP 
  • Experience using accounting/ERP software in a fast paced environment 

Skills

Competency with technology, basic data entry skills, comfortable with math and calculations, good listening and communication skills and attention to detail. Time and process management, including ability to prioritize multiple simultaneous deadlines, set priorities, and work under pressure. Excellent oral & written communication skills and the ability to resolve misunderstandings and errors in a diplomatic manner. Comfortable with Excel spreadsheets.

Language Ability:

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

Reasoning Ability:

Ability to solve practical problems. Ability to interpret a variety of instructions.

Work Environment:

The role primarily involves working at a desk with frequent use of a computer, phone, and standard office equipment such as printers and scanners. Employees may interact with team members, vendors, and other departments regularly. Reasonable accommodation may be made to enable individuals with disabilities to perform the essential functions. The noise level in the work environment is usually moderate.

Fully in-office role, 5 days per week on site in Gainesville, GA office.
