Position Overview:

The Accounts Receivable Specialist is responsible for efficiently managing customer accounts and ensuring timely collections.  This role requires a detail-oriented professional with strong organizational skills and the ability to work effectively within small, diverse teams.  The position demands excellent communication abilities, particularly in discussing business accounts over the phone, and proficiency in accounting systems and Microsoft Office.

Essential Responsibilities:

• Manage the collection of customer accounts in a professional and conscientious manner. 
• Initiate inquiries on past-due accounts, follow up on payment commitments, and process monthly statements. 
• Collaborate with sales representatives on collection efforts and advise management on challenging accounts. 
• Monitor overall accounts receivable balances and prepare monthly aging trend analyses with explanations and updates on delinquent accounts. 
• Process customer refunds for overpayments and returns as necessary. 
• Review, code, and process daily receipts, including posting and preparing daily bank deposits. 
• Assist in the coordination of year-end financial statement audits related to accounts receivable.

Qualifications:

• Minimum of 3 years of experience in accounting and/or accounts receivable roles. 
• Strong preference for candidates with experience in medical or healthcare settings and business-to-business collections. 
• Exceptional verbal and written communication skills, with the ability to handle business accounts over the phone. 
• Proven organizational and documentation skills. 
• Proficiency in CRM, ERP systems, and Microsoft Office suite. 
• Ability to work collaboratively within small, diverse teams to achieve project goals. 
• Detail-oriented with the ability to produce accurate and timely work in a high-volume environment. 
• Strong problem-solving and analytical skills. 
• Legally authorized to work in the United States. 
• Must not be barred from working with Federal contracts or listed on any Federal government exclusion lists.

• Ability to lift and/or carry up to 20 pounds
• Frequent standing, walking, stooping, and reaching with hands and arms.

Work Environment:

• Standard office hours are Monday through Friday, 8:30 a.m. to 5:00 p.m. 
• Occasional evening and weekend work may be necessary based on job demands.

Supervisory Responsibility:

• This position is an individual contributor and does not have direct supervisory responsibilities.
