Please note, this position is based in our main office and is not eligible for remote work.

Duties and Responsibilities

  • Greet visitors and patients, ensuring a welcoming and professional entrance to the clinic.
  • Answer phone calls, text messages, emails to manage appointment scheduling and handle patient inquiries with an uplifting demeanor.
  • Maintain patient records with high levels of accuracy and confidentiality in accordance with HIPAA standards.
  • Collaborate with dental professionals and other staff to streamline patient care and office procedures.
  • Handle email correspondence with suppliers, patients, and insurance companies, and ensure timely responses.
  • Participate in regular staff meetings to discuss improvements in patient care or office protocols.
  • Engage in continuous learning about current dental practices and administrative processes to support office efficiency and effectiveness.
  • Coordinate with dental staff to ensure smooth operation of all front desk responsibilities.
  • Manage multiple administrative tasks including but not limited to scanning, faxing, mail distribution, and filing.

Requirements

  • Proven experience in a customer service role, with a record of enhancing customer satisfaction.
  • High school diploma or equivalent; additional qualification in medical administration or similar field preferred.
  • Exceptional organizational abilities with the skill to manage time efficiently and prioritize tasks effectively.
  • Strong interpersonal skills to interact positively with patients, staff, and external contacts.
  • Capability to work effectively in a fast-paced environment and adapt quickly to changing situations.
  • Proficient with office software and comfortable using technology, including dental office management software.
  • Excellent oral and written communication skills, ensuring clarity and precision in all interactions.
  • Detailed-oriented with a commitment to accuracy in all administrative tasks.
  • A proactive approach to problem-solving and the ability to make informed decisions swiftly.
  • The ability to multitask effectively, managing several tasks without compromising quality or service.
  • Enjoy task switching and are comfortable handling various duties throughout the workday.
  • Always eager to assist in creating a friendly and welcoming office atmosphere for everyone.

Wages and Benefits

  • $22-$27/hour
  • 30-40 hours/week
  • Hours: availability until 7:00pm a few days a week
  • Full time benefits: Health Insurance optional, 401k match optional, Accrued Sick Pay, Accrued PTO- up to 2 weeks depending on length of employment, 4 Paid Holidays/Year
