As a Front Office Team Member, you’ll be an essential part of our close-knit front office crew, working side-by-side with teammates to ensure every patient has an exceptional experience. You’ll help keep the day flowing smoothly, support your team, and make sure no detail is overlooked. Here’s how you'll contribute:
Work Together to Deliver an Exceptional Patient Experience
- Greeting patients warmly and making them feel right at home.
- Support new patient onboarding by helping gather necessary records, forms, and insurance details ahead of time.
- Keep communication with patients clear, timely, and friendly—whether it’s by phone, text, email, or in person.
- Help make every visit special by recognizing milestones, birthdays, or life moments and looping in the team when needed.
Collaborate to Keep the Schedule Running Smoothly
- Partner with the rest of the front office team to manage, adjust, and maintain a full and productive schedule.
- Assist with our hygiene and doctor scheduling goals adjusting the schedule when needed to keep things flowing.
- Work with teammates on recall and reactivation systems—calls, texts, and follow-ups—so no patient falls through the cracks.
- Confirm upcoming appointments and help coordinate short-call opportunities and treatment follow-ups.
Team Up on Financial & Insurance Coordination
- Help collect and post payments accurately at checkout.
- Assist in verifying insurance information and preparing clear, accurate treatment plans and financial menus.
- Support your teammates in reviewing financial arrangements with patients—ensuring conversations are compassionate and confident.
- Be familiar with our financial options and membership plans to help answer patient questions when needed.
Be a True Team Player
- Jump in to help wherever needed—answering phones, preparing forms, managing the flow of the day.
- Collaborate closely with our Treatment and Patient Care Coordinators to ensure smooth patient handoffs.
- Participate in team huddles and share helpful insights, updates, or schedule notes.
- Support the entire front office in upholding the high standards our patients know and love.
