American Roofing & Waterproofing is excited to announce an open position for a Full-Time Office Administrator. This role is integral to the efficient operation of our bustling office environment and is based at our corporate headquarters. As this is a core position within our administrative team, it is important to note that this is not a remote job. The successful candidate will be someone who thrives in a dynamic, fast-paced environment and demonstrates a commitment to maintaining high standards of organization and operational efficiency.

Our Office Administrator will play a crucial role in supporting our staff and ensuring that our administrative functions run smoothly. They will be the front-line support for our diverse team, providing administrative assistance to ensure seamless day-to-day operations. This position is perfect for individuals who are proactive, highly organized, and ready to take on a variety of tasks to support and enhance our organizational effectiveness.

Duties and Responsibilities

  • Manage incoming calls and other communications, ensuring all calls are answered promptly and directed appropriately.
  • Handle basic office duties, such as responding to emails, preparing documents, duplicating, and managing office supplies.
  • Maintain strong relationships with clients and vendors, acting as a first point of contact for incoming queries.
  • Develop and maintain a filing system that ensures accessibility and security of documents.
  • Support the team with the scheduling of appointments, meetings, and event coordination ensuring efficient use of time and resources.
  • Oversee the maintenance of office equipment and technology, coordinating with IT support and other technical resources as needed.
  • Manage special projects and prepare reports by collecting and analyzing information required by the office.
  • Assist in the preparation of lead sheets, work orders, warranties, and other administrative tasks as needed.

Requirements

  • Proven experience as an office administrator, office assistant, or relevant role.
  • Strong ability to organize, multitask, prioritize, and work under pressure.
  • High school diploma; additional qualification in Office Administration or related field is preferred.
  • Excellent written and verbal communication skills, and proficiency in English; bilingual abilities are a strong advantage.
  • Strong knowledge of office management systems and procedures.
  • Outstanding knowledge of MS Office; other office management tools (ERP software, video conferencing, etc.) are an asset.
  • Attention to detail and problem-solving skills.
  • Superior phone, email, and in-person communication skills.
  • Comfortable handling confidential information.
  • Aptitude for learning new software and systems.
  • Ability to physically manage the office space and carry supplies up to 20 lbs.
